Case Study: Successful Office Move in Nairobi – Dial and Move Kenya

Office relocations are among the most complex and high-stakes moves a business can undertake. In this detailed case study, we walk you through a real office relocation managed by Dial and Move Kenya — from the initial brief to the final handover — to show you exactly how we deliver seamless, disruption-free office moves for businesses across Kenya.

As the most trusted office movers Nairobi businesses rely on, this case study demonstrates our planning capability, execution excellence, and commitment to zero business downtime.

The Client

A leading insurance company with 80 employees, headquartered in Upper Hill, Nairobi. The company had outgrown its current office space and secured a larger, modern office in Westlands. The move needed to be completed over a single weekend to avoid disrupting operations.

The Challenge

The move presented several significant challenges. The Upper Hill office was on the 8th floor with elevator access only during business hours. The new Westlands office was on the 4th floor of a building with strict move-in time restrictions (8 AM to 6 PM). The company had a full server room with live data that needed to be handled with extreme care. There were 80 workstations, 15 meeting room setups, a reception area, and a large boardroom to relocate. The company's IT team needed to be coordinated for server disconnection and reconnection. And the entire move had to be completed by Sunday evening for a Monday morning operational start.

Our Approach

Week 1: Pre-Move Survey and Planning

Our senior move coordinator conducted a detailed pre-move survey of both the Upper Hill and Westlands offices. We created a comprehensive inventory of all assets, developed a color-coded labeling system by department, mapped the new office floor plan, coordinated with the client's IT team on server handling, and liaised with both building management teams on access and elevator scheduling. We provided a detailed moving quote covering all aspects of the relocation.

Week 2: Pre-Move Preparation

Our professional movers Nairobi team delivered packing materials to the office and briefed department heads on the packing process. Employees packed their personal desk items into labeled boxes. Our specialist team packed all IT equipment, meeting room AV systems, and the server room components with anti-static materials and custom padding.

Moving Weekend: Saturday

Our team of 20 movers, 3 trucks, and 2 coordinators arrived at Upper Hill at 7 AM. We began with the server room, working alongside the client's IT team. By 10 AM, all IT equipment was packed and loaded. By 2 PM, all 80 workstations, meeting room furniture, and the boardroom were loaded. The first truck departed for Westlands at 2:30 PM and began unloading while the second truck continued loading. By 8 PM Saturday, all items were at the Westlands office.

Moving Weekend: Sunday

Sunday was dedicated to setup. Our team reassembled all workstations, positioned furniture according to the floor plan, and set up all meeting rooms and the boardroom. The IT team reconnected the server room and tested all systems. By 5 PM Sunday, the new Westlands office was fully set up and operational.

The Result

The insurance company's 80 employees arrived on Monday morning to a fully operational new office. Zero data was lost. Zero equipment was damaged. Zero business disruption occurred. The move was completed on time and exactly on budget. As one of the leading moving companies in Nairobi, this is the standard we set for every corporate relocation.

"Dial and Move Kenya executed our office relocation with exceptional professionalism. 80 employees, one weekend, zero issues. We couldn't have asked for a better moving partner." — Operations Director, Insurance Company, Westlands.
